The Problem
The owner was spending hours each day just managing the flow between systems. A typical lead would come in via text, sit unread while the crew was on a job site, and by the time he got to it that evening, the customer had already called someone else.
They were running a job management platform, a CRM, and a business phone system. Three platforms, three logins, three places where customer data lived.
Leads went cold
Inbound texts sat unanswered for hours during busy days.
Quoting was slow
After a site visit, quotes were manually written up — often days later.
Scheduling was reactive
No optimized routing, no lookahead. Just whatever came to mind.
Data was scattered
Customer conversations in one place, jobs in another, payments in a third.
What We Built
We built a unified operations layer that connects to all three systems and adds AI on top. Not a replacement — an upgrade.
Unified Inbox
Every text, call, and voicemail from every system appears in one feed. Conversations are automatically grouped by priority — unread customer messages that need a response float to the top. Spam gets filtered and collapsed. Call transcripts are pulled in automatically so you can read what a customer said without listening to a recording.
AI Lead Response
When a new lead texts in, AI analyzes the conversation and can auto-respond in the owner's voice — asking for the address, confirming the service type, and scheduling an assessment. In supervised mode, the owner reviews and approves each response before it sends. In autonomous mode, the AI handles first-touch entirely.
The AI was trained on the owner's actual messaging style, so responses sound like him — not a bot.
AI-Generated Quotes
After a site visit, instead of manually building a quote, the owner fills out a quick form — number of trees, size, service type, access difficulty. The AI generates a professional line-item quote with pricing based on historical data. One click sends it to the job management system with the client and property already attached.
Schedule Optimization
Pending assessments and active jobs feed into an AI scheduler that generates a multi-day route plan. It groups nearby addresses together, respects existing commitments, and produces optimized Google Maps routes. The crew sees a map with numbered stops and drive time estimates.
Real-Time Dashboard
A home screen shows exactly what needs attention: conversations waiting for a response, active job count, revenue this month, today's appointments. Every card is clickable — tap “Active Jobs” and you're in the jobs feed. No digging.
The Technical Approach
The system runs as a modern web application with integrations into each existing platform via their APIs. There's no traditional database — each existing tool remains the source of truth for its own data. The AI layer reads from all of them, caches for speed, and handles the intelligence.
AI handles four core functions:
- 01Lead scoring and conversation analysis — every inbound message is analyzed for intent, urgency, service type, and location.
- 02Auto-response — first-touch replies in the owner's voice, trained on his actual message history.
- 03Quote generation — structured field notes in, professional line-item quotes out.
- 04Schedule planning — multi-day route optimization that accounts for geography, existing commitments, and drive time.
Results
Within the first week of deployment:
Hours → Minutes
Lead response time
The AI agent handles first-touch on new leads immediately, even when the crew is on a job site.
Days → Minutes
Quote turnaround
AI-generated quotes with one-click integration replaced the manual process.
Zero
Leads lost
Every lead, every call, every text is in one place with AI analysis attached.
Automated
Spam handling
Automated detection and one-click blocking keep the inbox clean.
The Bigger Idea
This isn't a SaaS product. It's not something you sign up for and log into. It's a custom AI operations layer built specifically for one company's workflow, tools, and voice.
But the pattern is repeatable. Every field service business runs some combination of job management, CRM, and phone system. They all have the same problems — leads falling through cracks, slow quoting, scattered data, no time to manage it all while they're actually doing the work.
The value isn't in the dashboard. It's in the AI that sits between the tools and handles the work that used to require someone at a desk.
We're not selling software. We're selling an operations upgrade — custom-built, AI-powered, plugged into whatever you already use.
